Registry and Personnel Affairs Office

  • Create and follow up on all internal and external correspondences as directed by the school secretary.
  • Accept petitions from students, staff, and external parties, and inform the school secretary.
  • Maintain personnel files for the school's staff.
  • Handle and follow up on correspondence related to the leave of academic and administrative personnel.
  • Follow up on domestic and international assignment processes for academic and administrative personnel.

Student Affairs Office

  • Register newly admitted students.
  • Record the grades and attendance of all students and prepare transcripts when requested.
  • Answer students' questions related to education and direct them to relevant departments.
  • Liaise with other units within the institution concerning student affairs.
  • Archive all documents related to former students for five years.
  • Announce the results of the foreign language exemption exam and handle the necessary procedures.
  • Prepare students' certificates of achievement.

Accrual and Purchasing Office

  • Prepare salary, promotion, additional course load, and attendance sheets for academic staff.
  • Prepare salary, promotion, overtime, and payment documents for administrative staff.
  • Prepare domestic and international travel allowances for temporary and permanent assignments.
  • Prepare the school's budget.
  • Handle the procurement process for goods and services needed by the school.
  • Prepare payments for electricity, water, phone, natural gas, etc.
  • Submit all prepared documents to the school secretary.
  • Prepare pension deduction summary payrolls for staff.
  • Handle the process of calculating service days worked at other institutions and reflecting them in the personnel's grade and rank.
  • Submit the Social Security Institution (SGK) data for permanent and contracted staff electronically to SGK.

Inventory Control Unit

  • Keep records of purchased or donated equipment.
  • Ensure that materials and equipment used for educational purposes are ready for use.

Director's Secretariat

  • Manage the director's phone calls and appointments.
  • Attend to guests from inside or outside the institution who come to the director, hosting them until the meeting begins.
  • Remind the director of important meetings such as Senate, University Executive Board, School Board, School Executive Board, and Disciplinary Board.
  • Keep protocol lists and phone directories within the university and city up to date.
  • Record daily visitors and callers for the director, noting their name, date, and time if necessary.
  • Prevent unauthorized access to the director's office and ensure the office is locked and secure when the director is absent.
  • Ensure that documents, faxes, and notes addressed to the director are promptly delivered to the relevant individuals.
  • Handle all correspondences related to boards (Academic Board, School Board, Executive Board, Disciplinary Board).
  • Perform other tasks assigned by the Director, Assistant Directors, and School Secretary.
